Finance Administrator

An accredited online safety training institute is seeking a detail-oriented and experienced finance administrator to support its financial operations. This role involves managing day-to-day financial transactions, ensuring compliance with regulations, and contributing to the smooth running of the institute's financial systems.

Key responsibilities

Financial management
  • Maintain accurate records of financial transactions, including student fees, vendor payments, and operational expenses.
  • Process and monitor incoming payments for course enrolments, issuing invoices and receipts.
  • Ensure all financial transactions are accurately recorded in the accounting system.
Student fee administration
  • Manage fee schedules and monitor payment plans for enrolled students.
  • Follow up on outstanding payments professionally and efficiently.
Accounts payable and receivable
  • Process vendor invoices and ensure timely payments.
  • Reconcile accounts payable and receivable monthly.
Financial reporting
  • Generate reports, including income statements, cash flow statements, and budget comparisons.
  • Provide monthly financial summaries to the finance or operations manager.
Bank and account reconciliation
  • Perform regular reconciliations of bank accounts to maintain financial accuracy.
Compliance and auditing
  • Ensure compliance with relevant financial and tax regulations.
  • Assist with audit preparation and provide necessary financial data.
Support for online operations
  • Collaborate with student support and IT teams to align financial systems with the institute's platforms.
  • Address student queries about payments, refunds, and billing discrepancies.
Administrative support
  • Maintain organised and secure filing systems for financial documents.
  • Liaise with auditors, vendors, and other stakeholders as needed.
Skills and qualifications

Educational background
  • Diploma in accounting, finance, or a related field.
Experience
  • Minimum of eight years in a finance or administrative role.
  • Experience in the education or online learning sector is advantageous.
Technical skills
  • Proficiency in accounting software (e.g., Sage, Pastel).
  • Advanced MS Excel skills for reporting and reconciliations.
  • Familiarity with student management systems and payment gateways is a plus.
Soft skills
  • Strong numerical and analytical abilities.
  • Excellent organisational and time-management skills.
  • Effective communication skills for interacting with students and team members.
