Reports to: Senior payroll and HR administrator Purpose: This employee needs to ensure accurate and timeous data verification of shift workers’ working hours, contract, and payroll input for payroll to process accordingly. Furthermore, the payroll assistant must collect all payroll and HR supporting documents, check for accuracy and process on the payroll system and other HR systems that are in place. This employee is the “middle man” between the operations department and the payroll/HR department, and has a big responsibility of ensuring that the correct information is received and captured. Qualifications, skills and required competencies to meet the job outcomes:- Grade 12
- Appropriate Payroll Qualification
- Valid Unendorsed Code EB drivers licence (previously
- Code 08)
- MS Office (especially Outlook, Word and Excel)
- 2 years in a junior payroll and HR position
- Knowledge of SAGE People 300 and ESS
- Ability to analyse and interpret data
- Good writing, documenting and communication Skills in
- English
- Organised and detail orientated
- High level of accuracy and confidentiality
- Good time management skills
- Professional attitude and appearance
- Possesses good judgment/problem solving

Essential duties and responsibilities:- Sage People 300 System, includes:
- Responsible for preparation and processing of the monthly payroll input for all Plaza Staff on SAGE 300 People payroll system (this includes the approval of ESS leave, terminations, personal details changes, Acting M2 documents, etc.)
- Responsible for preparation and processing of the monthly contracts on the SAGE 300 people payroll system
- Review and ensure accuracy of approved of all supporting documents
- Maintain a proper document control system
- Approval of ESS Leave applications and ensuring that the supporting documents are valid and accurate
- Ensure all payroll and HR deadlines are met for salaries to be paid on time, i.e., Contracts, Payroll Input (Email and sheet), etc.
- Responsible for preparation and processing of the probation documents
- IR Obligations:
- Ensure that all disciplinary actions are captured and updated on the HR filing system.
- Assist the IR Manager with adhoc related duties from time to time
- HR Related Functions:
- Update and maintaining personnel files
- To assist with any adhoc related duties from time to time within the HR Department
- Obligations to Employer:
- Ensure personal documents of all employees are correctly filed (electronically)
- Comply with all Company policies and procedures relevant to salaries and m procurement
- Ensure that the salary administration takes place in such a manner that a healthy and trustworthy relationship will exist between the Company and its employees
- Monthly reporting to superiors, or as needed
- Obligations to Operational Department:
- Monthly receiving of Manpower reports and all applicable admin relating to Leave
- Timeously informing management and employees of applicable leave queries should the information not be correct
- Follow up and ensure that documentation is received and updated as required (this included but is not limited to leave, payroll input and filling documentation)
- Audit Obligations:
- Ensure that all documents are in accordance with the company policies and procedures

- Confidentiality and security of personal information

- Performance Management
- Assist with the performance management process
- Uploading of performance contracts
- Submission of reports regarding performance management as per the agreed deadlines
